Production Purchase Request

To go back to the Search screen, click Production Purchase Request next to Welcome at the top-right corner of the page.

The Production Purchase Request screen lets the production team raise a request for parts, products or other items needed on the shop floor. Once approved, the Purchase team raises a Supplier PO against it.

Prerequisites​

Before creating a Production Purchase Request, ensure the following master data is up-to-date:

1.1 Add Production Purchase Request​

Step 1: Reach the Production Purchase Request Screen

From the main side menu, click on Production & Quality → Operations → Production Purchase Request. This opens the Production Purchase Request Search page.

Step 2: Create a New Purchase Request

Click the Add Purchase Request button at the top-right corner. This opens the Create Purchase Request form.

Step 3: Fill in Purchase Request Details

Step 4: Add Purchase Request Line Item(s)

  • Add → Adds the line item to the list below.
  • Clear → Resets the line item fields.

To change a line item, click the Edit (blue pencil) icon on its row, update the fields and save. Click the Delete (red bin) icon to remove it; line items can be deleted only while the request is in draft.

Step 5: Attach a File (optional)

Under Choose File to Upload, select a file and click Upload File to attach supporting documents (e.g., drawings or quotations). Click the file name to download it later.

Step 6: Save or Submit

  • Save as Draft → Saves the request without sending it for approval. It can be reopened later.
  • Submit for approval → Sends the request to the next approver.
  • Approve / Reject → Available to authorized approvers when reviewing a submitted request.
  • Close PR → Closes the purchase request.

1.2 Search Production Purchase Request​

On the Production Purchase Request Search page, use one or more filters:

  • Search → Matching purchase requests appear in the results table.
  • Clear → Resets all filters.

1.3 Edit Production Purchase Request​

  1. Search for the purchase request and click View/Edit on its row.
  2. Update the header details or line items as required.
  3. Click Submit to save the changes, or Approve / Reject if you are the approver.

Admin users can cancel a request with Cancel PR, provided no Supplier PO has been raised for it.

When an admin edits a submitted request, the change is saved as a new version. The Purchase Request Version section lists each version with its Supplier, Purchase Request Number, Purchase Request Date, Type and Version; click View/Edit on a row to see that version's line items.

Once a Supplier PO is raised for the purchase request, the screen shows the linked PO number and no further edits are allowed.
